How to Create a Cleaning Spec Sheet for Your Facility

A cleaning spec sheet eliminates misunderstandings between your business and your cleaning company. Learn how to write a clear, complete specification document that defines exactly what gets cleaned, how often, and to what standard — so both sides are aligned from day one.

Why You Need a Written Cleaning Specification

Most commercial cleaning disputes come down to mismatched expectations. The business owner assumed baseboards would be wiped weekly. The cleaning company assumed baseboards were monthly. Without a written specification, both sides are guessing — and guessing leads to frustration, service complaints, and eventually a search for a new vendor.

A cleaning spec sheet documents every task, every frequency, and every standard in writing. It protects both the business and the cleaning company by creating a shared understanding that eliminates ambiguity. For businesses in Conroe, The Woodlands, Spring, and the North Houston area, a spec sheet is the foundation of a successful cleaning contract.

Section 1: Facility Overview

Start with the basics that any cleaning company needs to price and plan the work:

  • Facility address and building name
  • Total square footage and floor count
  • Facility type: office, medical, retail, warehouse, restaurant, church, school, etc.
  • Number of employees or average daily occupants
  • Operating hours and preferred cleaning window
  • Access instructions: keys, alarm codes, badge requirements
  • Security or escort requirements
  • Parking availability for cleaning vehicles

Section 2: Area Inventory

List every distinct area in the facility. Be specific — "offices" is too vague. Include:

  • Number and approximate size of private offices
  • Number of open workstations
  • Number of conference rooms and sizes
  • Number of restrooms and fixture counts (toilets, urinals, sinks)
  • Break rooms and kitchens with appliance inventory
  • Lobbies, reception areas, and waiting rooms
  • Hallways and stairwells
  • Storage rooms, server rooms, and restricted areas
  • Exterior areas if applicable (entrances, dumpster pads, parking)

Section 3: Task and Frequency Matrix

This is the core of the spec sheet. For each area, list every cleaning task and its frequency:

Example for Private Offices:

  • Empty trash and replace liners — daily
  • Vacuum carpet — daily in high traffic, twice weekly otherwise
  • Dust horizontal surfaces — weekly
  • Wipe door handles and light switches — daily
  • Clean interior glass — weekly
  • Dust blinds — monthly
  • Vacuum baseboards — monthly

Repeat this format for every area type in your facility. The level of detail prevents assumptions and creates an auditable standard.

Section 4: Quality Standards

Specify what "clean" means for your facility. Examples:

  • Restrooms: No visible soil on any fixture. All dispensers at least half full at start of business day.
  • Carpets: No visible spots or stains. Traffic lanes show no darkening.
  • Hard floors: No streaks, no debris, no standing moisture.
  • Glass: No streaks, no fingerprints at eye level.
  • Trash: No overflow. Liner always present and sized correctly.

Section 5: Supplies and Equipment

Clarify who provides what:

  • Paper products (toilet paper, paper towels, seat covers) — client or vendor?
  • Hand soap and sanitizer refills — client or vendor?
  • Trash can liners — client or vendor?
  • Cleaning chemicals — always provided by the cleaning company (they carry their own insurance for chemical use)
  • Specialized equipment (floor machines, extractors) — provided by cleaning company

Using Your Spec Sheet in North Houston

Once written, use the spec sheet to solicit bids from commercial cleaning companies in the Conroe, The Woodlands, and North Houston area. Every bidder receives the same document, which makes proposals comparable. At SparkTex Cleaners, we use the client's spec sheet as the basis for our proposal — and if you do not have one, we help you write one during the walkthrough. A clear spec sheet is the single best predictor of a successful cleaning relationship.

If it is not written down, it does not exist. A cleaning spec sheet turns expectations into agreements.
